Out-of-office message in Spanish: templates and phrases

An out-of-office reply is a respuesta automática or mensaje de ausencia. Say when you’re away, when you’ll reply and who to contact: Gracias por su mensaje. Estaré fuera de la oficina del 12 al 16 de octubre, sin acceso al correo. Responderé a mi regreso, a partir del lunes 19. Para asuntos urgentes, comuníquese con Ana López ([correo de Ana]). Write days and months in lowercase.

Asunto: Fuera de la oficina del 12 al 16 de octubre
Gracias por su mensaje. Estaré fuera de la oficina del lunes 12 al viernes 16 de octubre, sin acceso al correo electrónico. Responderé a su mensaje a mi regreso, a partir del lunes 19 de octubre. Para asuntos urgentes, comuníquese con Ana López en [correo de Ana].

Short version (team or chat status). Fuera de la oficina hasta el 16 de octubre. Respondo a partir del lunes 19.
Bilingual. If your clients write in both languages, put both versions in one message with the same dates, Spanish first for Spanish-speaking clients.
Details that matter. The RAE writes days and months in lowercase (lunes 12 de octubre). Vacación is mostly used in the plural, so estar de vacaciones. Ausencia is the time someone is away. Comuníquese con and escriba a are usted forms, which suit a message every client receives.

Common mistakes
Estaré de vacación→ Estaré de vacaciones.- Capital letters on months and days:
del 12 al 16 de Octubre→ del 12 al 16 de octubre. - No backup contact, so urgent client emails sit unanswered.
- Promising Le responderé lo antes posible when you’ll be offline for a week. Give the return date.
- Using tú in a message every client receives. Use usted.
